Every item that enters the warehouse starts with an Advance Shipment Notice. Whether the client integrates via API or uploads a spreadsheet, the receipt process is always scan-driven, mobile-first, and fully trackable.

ASN Creation
Three ways to notify the warehouse — API, CSV, or manual entry
Client systems can push ASN data directly via API with items, quantities, SKU barcodes, and optional reference numbers. For clients without API capability, CSV export from any ERP or OMS uploads directly to the interface. Manual entry handles shipments that arrive without advance notice — draft save lets operators start with partial data and return to complete it when the full contents are known.
Return ASNs: Consumer-initiated returns come back as separate return-type ASNs. The platform integrates with Reviiv (Shopify webhook) to auto-create return ASNs directly from Shopify return events — no manual entry required from the warehouse.
Mobile Goods Receipt
Scan-first or ASN-first — two identification paths, one scan-driven workflow
Scan-first: the worker opens a box, scans any item. The system shows all ASNs containing that SKU — worker selects the correct one and continues. ASN-first: worker selects the ASN from the mobile list by number, then scans items to confirm quantities. Both paths converge to the same receipt workflow — items are received to PTV staging, the worker's trolley, or a specific bound shelf location.

Order Picking

Three picking modes —

The system automatically assigns each order to the correct picking mode based on item count, dimensions, and location bindings. Workers follow a guided, scan-driven process — aisle-optimized routing minimizes travel time at every step.

Single
Single-item orders — highest throughput
One SKU, one order — the fastest fulfillment path. Workers pick all single-item orders in one aisle pass, each item identified by a single scan. Dedicated packing tables with no sorting required.

Multi
Multi-item orders — Order Bins for sorting
Multiple SKUs per order. Worker walks with a trolley, collecting items for multiple orders in one aisle pass. At the packing station, items are sorted into dedicated Order Bins — one cell per order — before packing begins.

Order Bins: Two-sided rack cells accessible from both sides — picker fills from one side, packer empties from the other. Zero cross-contamination between orders.

Large
Oversized items — storage locations & equipment
For items too large or too many for standard pick-face cells. Triggered automatically when items exceed cell capacity by quantity or physical dimensions, or when a product has only storage-location bindings and no pick-face assignment.

Auto-assignment: A product bound only to ST locations (no PF binding) is automatically routed through Large mode for all orders containing it.
Aisle-optimized routing: Workers select an aisle on mobile and pick all items from it across all active orders in one pass — sorted by shelf position. Dramatically reduces walk time vs. order-by-order picking.

The packing station is where speed meets accuracy. Every item is confirmed by scan, every box is weighed, and every label is generated automatically through the connected shipping integration.

Item-by-item confirmation — system tracks what's packed and what remains
The packer scans an item or the packing station location. The system instantly identifies the order and shows all required contents. Items are confirmed one by one as they go into the box — the system tracks what has been packed and what still needs to be added. Multiple boxes per order are supported: create additional boxes when contents don't fit in one, with each box treated independently for weighing and labeling.

Weighing & Label Generation
Weight confirmed, label printed automatically — order dispatched in one step
Each packed box is placed on the scale. The system confirms weight — if a box exceeds the configured maximum, the packer is prompted to redistribute items before proceeding. Once all boxes are weighed and confirmed, the Confirm action triggers automatic label generation via the connected shipping platform (V-TER Ship). Labels print to the configured printer. Reprint is available at any time from the order detail view without re-packing.
Order status on confirmation: Instantly updates to Dispatched. The client sees the tracking number and shipment confirmation in their portal view in real time — no manual notification required.
Inventory & Location Management

Items don't just sit in a warehouse — they're bound to specific location types that determine how they're picked, stored, and replenished. The system enforces these bindings at every scan to prevent misplacement.

Every location in the warehouse is typed, and that type determines how the system handles items stored there. The right location type drives the right picking mode automatically — no manual assignment per order.

Pick Face
Front-of-rack fast-access cells for high-velocity SKUs. Used in Single and Multi picking.
ST
Storage
Bulk storage for overflow and reserve stock. Triggers Large pick mode automatically.
BIN
Order Bins
Two-sided sorting cells for multi-item order assembly. One bin per order in progress.
PTV
PTV Staging
Temporary buffer for newly received goods. Items here are not counted in live inventory.
Product–Location Bindings
Every product must be bound before it can be placed — no silent misplacements
Every product must be bound to one or more locations before it can be received to a shelf — the system refuses unbound placements. Bindings define capacity per location; the system warns before overfilling. A product bound only to ST (no PF binding) is automatically routed through Large pick mode for all orders containing it.

The REST API covers ASN creation, order import, inventory queries, and status webhooks — clients integrate their OMS or ERP directly. Native Shopify connector syncs new orders automatically and creates return ASNs from Shopify return events via Reviiv. SFTP/CSV polling imports order files dropped by the client to a configured server location on a schedule — no portal login needed. Label generation at pack confirmation connects directly to V-TER Ship, passing carrier selection, weight, and dimensions in real time.

Each client's inventory, locations, and orders are fully isolated within the platform. Staff see only the client they're assigned to. Billing, SLA tracking, and reporting are all per-client. Moving a client to a new warehouse section requires no re-configuration.

Yes. V-TER WMS connects to ERPs (SAP, Oracle, Microsoft Dynamics, custom), OMS platforms, and carrier APIs via REST. The integration layer maps your existing SKU and order structure — no need to rebuild your catalogue.

Locations are set up using an alphanumeric grid (aisle-bay-level-position). Zones group locations by function — receiving, picking, packing, dispatch. Initial setup is done through the admin panel; most warehouses are configured within one business day.
